How to Prepare Label Artwork Files for Commercial Printing

A label that looks flawless on your screen can still fail the moment a press tries to print it. The good news: almost every reason it fails is something you can catch before you hit send.

Send print-ready label artwork as a vector file (.ai or PDF/X) with all fonts outlined, all images embedded, raster elements at 300 dpi or higher at final size, colors set to CMYK or PMS (never RGB), and 1/16" bleed on every edge. Barcodes go in as vector art with the correct symbology and an untouched quiet zone. Get those right and your job skips the back-and-forth and heads straight to proof.

Whether you’re submitting to a commercial label printer for the first time or moving over after years with another supplier, this is the checklist that keeps your file out of the “please resubmit” pile. Here’s exactly what a printer needs from you — and why each item matters.

The Print-Ready Checklist

Before you submit, run down this list. If every box checks, your artwork is in good shape. The sections below explain each item in detail.

  • Artwork is a vector file — Adobe Illustrator (.ai) or PDF/X — not a JPEG, PNG, Word doc, or screenshot.
  • All fonts are outlined (converted to paths), with a live-text version saved separately for future edits.
  • All placed images are embedded, not just linked.
  • Raster/photographic elements are 300 dpi or higher at final print size.
  • Colors are set to CMYK or PMS spot colors — no RGB anywhere in the file.
  • Bleed extends 1/16" beyond the cut line on all sides; critical elements sit at least 1/16" inside it.
  • Barcodes are supplied as vector art with the correct symbology and a clear quiet zone.
  • Your dieline (cut line) is included and clearly marked.

File Format: What We Accept and What We Don’t

The format you send tells the printer whether you handed them a blueprint or a snapshot. Vector files are editable, scalable, and press-ready. Raster snapshots exported from the wrong tool are not.

Accepted formats:

  • Adobe Illustrator (.ai) — preferred. Native vector format with full editability.
  • PDF/X-1a — the print industry standard PDF. All fonts embedded or outlined, all colors converted, all images embedded.
  • PDF/X-4 — an updated PDF standard supporting transparency and live fonts.
  • EPS — acceptable for simpler artwork; less common now.
  • TIFF or PSD — fine for purely photographic or raster label artwork, provided resolution meets spec. Not suitable as the primary file for labels with text, vector graphics, or barcodes.

Not accepted:

  • JPEG — lossy compression degrades quality and creates artifacts at press.
  • PNG — raster format, no vector data, resolution often insufficient.
  • Word (.doc/.docx), PowerPoint, Publisher — layout programs, not print-production tools.
  • Screen-resolution PDFs — anything exported from Word or a web tool at 72–96 dpi. Those are screen files wearing a PDF costume, not print files.

The practical rule: if you designed in Adobe Illustrator or a professional layout program and exported correctly, you’re likely fine. If your artwork came out of Canva, Microsoft Office, or a web browser, it almost certainly needs reworking first.

Resolution: 300 DPI Minimum for Raster Elements

For any photographic or raster image in your artwork, 300 dpi at the final print size is the floor. 350–400 dpi is better.

The load-bearing phrase there is at final print size. A 72 dpi image that’s 8” × 10” on screen does not magically become 300 dpi when you shrink it onto a 3” × 4” label — resolution is tied to print size, not file dimensions. If you’re unsure, check the effective resolution in Illustrator (select the image → Document Info) or Photoshop (Image → Image Size with “Resample” unchecked, then enter the final print dimensions).

Pro tip: Low-resolution raster images are the single most common preflight failure we see. They can look razor-sharp on your monitor and still print soft, blurry, or pixelated at press — because a screen has far fewer dots per inch to hide behind than paper does. Check effective resolution at final size before you submit, every time.

Vector elements — line art, text, logos built in Illustrator — are resolution-independent and scale to any size with no quality loss. That’s a big part of why vector is the preferred format.

Color Mode: CMYK or PMS, Not RGB

Commercial label printing uses either CMYK (four-color process) or PMS spot colors (Pantone Matching System). Do not submit in RGB — RGB is a screen model that doesn’t translate directly to ink.

CMYK: If your label prints in full color, convert everything to CMYK before submitting. Colors that look electric in RGB can shift noticeably in the conversion — so make that conversion yourself, in your design software, where you can see and correct the shift instead of being surprised by a proof.

PMS spot colors: If your design leans on specific brand colors — especially a logo that has to match across every run — call out PMS colors. Spot printing uses a premixed ink matched to the Pantone standard, which holds more consistent color than CMYK mixing. Each spot color gets its own plate on a flexographic press.

Mixed color modes: Plenty of labels use both — CMYK process for photographic imagery, spot PMS for a logo or brand color. That’s perfectly fine. Just be clear about which elements are which.

Bleed and Safe Zone: 1/16” Both Ways

Bleed is artwork that runs past the finished label edge. Any element that touches the edge — a solid background, a full-bleed photo, a colored border — needs it.

Standard bleed for label printing is 1/16” (0.0625”) on all sides beyond the cut line. Some suppliers use 1/8”, so confirm with your printer.

Here’s why it matters: die cutting shifts slightly, which is normal and expected. Without bleed, that shift leaves a thin white hairline along the label edge. With proper bleed, the exact same shift produces nothing visible at all.

The safe zone is the mirror image. Keep critical elements — logos, text, barcodes — at least 1/16” inside the cut line. Anything crowding the edge risks getting trimmed.

Fonts, Images, and Dielines

Outline all fonts before submitting. In Illustrator, Type → Create Outlines converts your text to vector paths, which prevents font substitution or reflow if the printer’s system doesn’t have your exact typeface. Save a live-text version first, though — you’ll want it the day someone asks for a copy edit.

Embed all linked images. Use File → Package or the Links panel in Illustrator to confirm every placed image is embedded, not just linked. A linked file points at an image sitting on your computer, and that image will not make the trip inside your artwork.

Include your dieline. The dieline is the cut line that defines your label’s final shape, and it should be included and clearly marked so there’s no ambiguity about where the label ends and the bleed begins.

Barcode Artwork Requirements

Barcodes are the one element that either works perfectly or fails completely at the scanner — there’s no “close enough.” Give them special attention.

Good to know: A barcode that scans clean in-house can still fail in your buyer's system if the symbology is wrong. Match the code type to where it'll actually be scanned.

  • Vector format: Barcodes must be supplied as vector art — not scanned, not raster. Anything screenshotted, scanned, or saved as a JPEG won’t print reliably. Generate a vector EPS or AI barcode with barcode software (Barcode Studio, IDAutomation, or similar).
  • Symbology: Confirm the right type for the job — UPC-A for retail, Code 128 for internal use, GS1-128 for supply chain, GS1 DataMatrix for pharma serialization, QR Code for consumer scans. The wrong symbology simply won’t scan in the right system.
  • Minimum size: Each type has a minimum print size set by GS1 or the relevant standard. UPC-A, for example, bottoms out at 80% of nominal size (roughly 1.02” × 0.74”). Go smaller and scans start failing.
  • Quiet zone: Barcodes need a clear white margin on each side, and the amount varies by symbology. Never place artwork, text, or pattern inside it.
  • Bar color: Dark bars on a light background — black on white is standard. Some combos that look high-contrast on screen (dark blue on yellow, say) don’t have enough reflectance contrast to scan reliably.

What Our Preflight Check Catches

Every file submitted to Certified Labeling Solutions goes through a preflight review before we produce a proof. We check:

  • File format and color mode
  • Image resolution at print size
  • Font outlining and image embedding
  • Bleed and safe zone margins
  • Barcode symbology, size, quiet zone, and bar color
  • Overprint settings (to prevent white knockout issues)
  • Spot color naming (so PMS colors are correctly called out in the file)

If we find something, we flag it with a specific description before going any further. We don’t fix artwork without your approval, and we don’t run a proof from a file that isn’t print-ready. That step protects both of us.
