Somewhere between “great product idea” and “on the shelf at a major retailer” sits a small, striped rectangle that has the power to stop your whole launch cold. Get the barcode right and nobody ever thinks about it again. Get it wrong and your shipment gets rejected at the receiving dock. Here’s how to get it right the first time.

Buy a GS1 Company Prefix from GS1 US (gs1us.org) — the only legitimate source retailers recognize. Use it to build a unique 12-digit GTIN for each product, register those numbers in GS1's database, then have the barcode printed on your labels in verified UPC-A symbology. Two jobs, really: get the number from GS1, then get it printed to spec.

What Is a UPC Barcode?

UPC stands for Universal Product Code. The standard retail format is UPC-A: a 12-digit barcode that encodes a unique identifier for your product. When a cashier scans it at the register, that number is looked up in the retailer’s database, which pulls the product name, price, and inventory record. The stripes don’t hold the price — they hold the key that finds it.

Here’s the part people underestimate: every unique product-SKU combination needs its own UPC. A 12 oz coffee bag and a 16 oz bag of the exact same blend are two different SKUs, so they need two different UPCs. Different colors, sizes, and variants each get their own code, no exceptions.

Step 1: Buy a GS1 Company Prefix

The only legitimate source for retail-compliant UPC barcodes in the United States is GS1 US (gs1us.org). GS1 is the global standards organization that manages product identification, and retailers verify barcode ownership through GS1’s database. This is the step you can’t shortcut.

You purchase a GS1 Company Prefix: a 6- to 10-digit number assigned to your company. The length of the prefix determines how many GTINs (product codes) you can create — a shorter prefix leaves room for more products and costs more:

For most small to mid-size brands, a 9- or 10-digit prefix covers everything you need. If you’ve got a handful of products, a 10-digit prefix is the right place to start — you can always expand later.

Watch out: Do NOT buy barcodes from third-party resellers. Sites hawking individual barcodes for a one-time $5–$25 are reselling prefixes originally assigned to other companies. Major retailers — Walmart, Target, Amazon, and grocery chains among them — verify ownership through the GS1 database. If your barcode traces back to someone else's prefix, your product gets rejected at receiving or flagged in the retailer's system. The $20 you saved becomes a launch you have to redo.

Step 2: Assign GTINs to Your Products

Once you have your Company Prefix, you build a GTIN-12 (Global Trade Item Number) for each product by combining three pieces:

  1. Your Company Prefix — the number GS1 assigned to you.
  2. An Item Reference Number — a unique number you assign to each individual product.
  3. A single check digit — calculated from the preceding digits using a standard algorithm. GS1’s website has a free check digit calculator, so you don’t have to do the math by hand.

The result is a 12-digit number that identifies your product globally. Then register each GTIN in GS1’s database through their GS1 Registry — this is the record retailers actually look up. An unregistered GTIN is a number that matches nothing in their system.

Step 3: Get Your Barcodes Printed on Labels

A GTIN is just a number until it’s printed as a scannable barcode on your product. This is where most brands trip — not on the GS1 side, but on the print side. Here’s what a clean print job needs:

  • The 12-digit GTIN — the number itself.
  • A print-ready barcode in UPC-A symbology, generated as a vector file (not a screenshot or raster image).
  • Correct size: UPC-A prints at a minimum of 1.02" × 0.74" at 100% magnification.
  • A label printer who can verify the printed result against ANSI/ISO quality standards.

Barcode quality isn’t cosmetic. A code that looks perfectly fine to your eye can still fail to scan reliably at retail if the ink spread, bar width, or quiet zone drifts out of tolerance. And a barcode that won’t scan at the register is a barcode that gets your product benched.

UPC-A vs. EAN-13: Which Do You Need?

Where are you selling?

UPC-A is the standard for retail in the US and Canada — a 12-digit barcode. EAN-13 is the international equivalent, a 13-digit code used across Europe, Asia, and most global markets. EAN-13 is backward-compatible with UPC-A, so any scanner that reads one reads the other. Selling only in the US and Canada? UPC-A is all you need. Going global? Your GS1 Company Prefix can generate both from the same GTINs.

Common Mistakes to Avoid

The mistakes here are predictable, which is the good news — predictable means avoidable. Tap any one for the fix.

Buying barcodes from resellers

Individual barcodes sold for a one-time fee are recycled from prefixes originally assigned to other companies. Retailers verify ownership through the GS1 database, so a resold code traces back to the wrong company and gets your product rejected. Buy your prefix directly from GS1 US — it’s the only path retailers recognize.

Using one UPC for different variants

Each size, color, and configuration of a product needs its own GTIN. A 4-pack and a 6-pack of the same item are two different products to a retailer’s system, so they get two different codes. Reusing a UPC across variants scrambles inventory and pricing.

Printing the barcode too small

A UPC-A barcode reduced below its minimum size scans unreliably. GS1 defines allowable magnification ranges, and your label printer should know and apply those specs so the code reads on the first pass at the register.

Forgetting the quiet zone

Barcodes require a specific white margin — the quiet zone — on each side of the bars, with no printing in it. Artwork that bleeds into the quiet zone causes scan failures. It’s one of the most common and most preventable barcode print errors.

Not registering GTINs in GS1's database

Retailers look your product up in the GS1 Registry. If your GTIN isn’t registered there, it matches nothing in their system, and the product won’t onboard. Registering each GTIN is a step, not an option.

What Comes After the Barcode

The UPC gets your product scanned at the register, but retailers usually want more once you’re in the door. As your product moves through the supply chain, each layer gets its own barcode:

  • Shipping cartons — a GS1-128 barcode identifying the contents and quantity.
  • Pallets — SSCC (Serial Shipping Container Code) labels for high-volume shipments into distribution centers.
  • Amazon FBA — an FNSKU barcode for products fulfilled through Amazon’s warehouse network.
